Fairfield was established in [1872]. Fairfield is a small town in Nebraska.
Community Club Mission Statement
To build and support the community through various activities and community improvements and to plan a variety of fundraising events throughout the year. We aim to raise funds to fully support the Annual Community events such as the Triple F Festival, Easter Egg Hunt, Halloween event, Holiday Turkey giveaways, Soup with Santa, Boy Scouts Charter, and Christmas Lights contest, in addition to implementing new animal events as we grow as a community club.
Terms and Conditions
Maximum number of board members shall be five.
- President
- Vice President
- Secretary
- Treasurer
- Social Media Coordinator
Elections shall be held every other year in December. These shall be alternating with two boards per elections. President and Senator one year, then Vice President, Treasurer and Social Media Coordinator the next year.
There shall be no term limits for board members.
There shall be no less than three board members present for making decisions.
The fiscal year ends on 31st of December. The Books of the Community Club must be closed at that time. All year-end documents and tax filings must be submitted to the Board for review and approval no later than 31st of January each year so that the President and Treasurer may ensure timely filing to state and federal agencies.
Bylaws to be reviewed yearly, any amendments to Bylaws shall be by popular vote only.
President
The President shall be the chief executive officer to the Community club and as such, shall head up the board and supervise all the business and affairs of the board. The role of President is a matter of governance:
- Act as Lead Officer of the Community Club
- Preside at meetings of the Community Club
- Attends meetings with community and other organizations to inform and promote the Community club goals
- Create committees, either permanent or temporary, as necessary to accomplish the Community Club Goals
- After discussion with the Board, appoints all committee chairpersons
- Solicit support from community and donors
- Ensure an agenda is published to interested parties prior to meetings
- Signs all documents on behalf of the Community Club
- Assign additional duties to Board members and others as necessary to accomplish the Community Club goals
- Perform other such duties assigned by the Board of Directors
Vice President
The Vice President shall preside at all meetings in the absence of the President or in the events of his/her inability or refusal to act, and as such shall work with the board of the community club to ensure it maintains its values and meets established goals:
- Oversight for all community club programs and public events undertaken by the Club
- Be a member of the budget committee
- Succeed the President if the President is unable to complete his/her term of office
- Recommend establishment of committees, either permanent or temporary, to accomplish the Community Club goals
- Perform other such duties assigned by the Board of Directors
Secretary
The Secretary shall attend all meetings and as such shall be responsible for the proper management and utilization of important records such as meeting minutes and the organization’s by-laws, as well as keeping track of board members terms and important filing deadlines for the community club status:
- Keep the Minutes of all meetings
- Upon request of the Board, provide minutes taken from previous meetings to allow for additions, deletions, or corrections prior to the next meeting
- Receive agenda items for the next meeting no later than two days prior to the meeting
- Prepare an agenda before the next meeting
- Act as Archivist for the Community Club
- Maintain the approved Minutes from meetings
- When possible, create and maintain digital copies of documents so they are readily available to members. This includes significant personal correspondence sent or received by Board members and any official correspondence from federal or state sources
- Keep an updated Roster of all Officers and members of the Community club
- Perform other such duties assigned by the Board
Treasurer
The Treasurer shall be responsible for all funds of the Community Club and as such, shall develop systems for ensuring the organization’s solvency:
- Keep a full and accurate account of receipts and expenditures
- Maintain Community Club Books in Generally Accepted Accounting Principles (GAAP) format
